Name the person who acts
Google's SRE guidance recommends that alerts directed to people be understandable and represent a clear failure. For a small business app, that begins with a named owner. Someone must decide what to do when requests stop arriving, a connection expires or an employee needs access changed. A shared inbox can help, but it does not replace responsibility for deciding and following through.
List a primary owner and a backup for the critical workflow. Record where they can see current requests, service status and relevant bills. Give them appropriate access through the services' account controls, while keeping secret values out of the operating guide and routine support messages.
Write the few failures that matter
Choose the symptoms that would interrupt the business: customers cannot submit, owners cannot see new work or confirmations fail. For each, describe how to recognize the issue and the immediate fallback. Avoid a long checklist of technical signals that the owner cannot interpret or act on.
State which source should confirm the symptom. A page loading does not establish that a request reaches the owner. Use a safe sample journey where appropriate and keep the evidence tied to the published environment. Distinguish the observed failure from a suspected cause until investigation supports it.
Cover ordinary maintenance
Include routine tasks such as changing opening hours, correcting a record, removing staff access and reviewing service renewals. Explain who may perform each action and where the current instructions live. These everyday tasks often determine whether the app remains useful after its initial creator moves on.
Keep a dependency inventory with the account owner, purpose and renewal responsibility for connected services. Review it when a feature is added or removed. An unused service can continue billing, while a forgotten renewal can affect a feature that staff assume the app itself provides.
Rehearse a handoff and a recovery
Have the backup owner perform one routine change and follow one simulated failure scenario. Ask them to locate the affected record, identify the responsible service and explain the fallback. Improve the guide wherever they must guess. The exercise should use safe data and avoid unnecessary real customer effects.
After a real incident, add the established cause, correction and verification to the guide in a concise form. Keep obsolete instructions marked or removed. An operating guide earns its place when another authorized person can continue the business's work and explain what remains uncertain without depending on the original builder conversation.
