Plan a shift handover app that carries unresolved work forward

Capture what changed, what still needs action and who has taken responsibility for the next shift.

Describe the unfinished work

OWASP's logging guidance calls for event context including the actor, time, location and action. Apply that context to a shift handover without turning it into a wall of activity logs. The next team needs to know what remains unresolved, why it matters and who should act. A list of everything the previous shift clicked rarely answers those questions.

Define a handover item with a short description, related job or location, current state and next action. Include the person creating it and the time. Keep sensitive information limited to what the receiving team needs, and use a separate authorized process for incidents requiring restricted handling.

Separate acknowledgement from completion

A receiving supervisor may acknowledge that they have read a handover without completing its tasks. Model those as different actions. Otherwise the app can make unresolved work disappear simply because someone accepted responsibility for the shift, leaving no visible owner for the actual job.

Allow each open item to be assigned or carried forward with a reason. If a machine remains unavailable, the next team should see the condition and the planned follow-up. Avoid repeatedly copying the note into a new blank record, which can obscure its history and create conflicting versions.

Make corrections traceable

People may record the wrong location or an outdated status during a busy shift. Provide a clear correction path and preserve the relevant history. The aim is to explain the current state, not to make ordinary mistakes impossible to fix or to require staff to hide them.

Use a concise update for a meaningful change. If a repair is completed, link the resolution to the original item and identify the confirming person. Distinguish a reported resolution from one the responsible role has verified, according to the operation's actual process.

Rehearse the handover boundary

Test an item created near shift end, acknowledged by the next supervisor and completed later. Include an item that remains open across several shifts and one assigned to the wrong team. Check that filters show unresolved work regardless of which shift originally created it.

Have the receiving team review the handover without verbal coaching. Ask whether they can identify the most urgent action and its owner. Refine the fields based on what they need to continue work. A useful handover app makes continuity visible while keeping the record short enough for staff to maintain.

Put it into practice.
