A waitlist entry is a preference, not a confirmed appointment

Plan how an opening becomes one accepted booking without overpromising.

Describe what joining means

Square Appointments supports appointment waitlists, while its current documentation says class-booking waitlists are unavailable. For a hypothetical beauty studio, the important customer distinction is that joining the list records interest rather than confirming an appointment. Explain how an opening will be offered and what action secures it. Review the relevant plan and country availability before choosing the feature. Do not promise automatic placement unless the actual setup and operating process support it. A waiting customer should know whether they still need to choose and confirm a time.

Collect useful availability preferences

Record the service, acceptable dates or times and any staff preference needed to match an opening. Avoid a vague list of names that requires calling everyone whenever a slot appears. Let staff update or remove a request when the customer no longer wants it. Decide how long a preference remains useful. In the hypothetical studio, someone seeking an appointment before a wedding may not want an offer afterward. A small amount of structured information can make the list operationally useful without collecting unnecessary personal details.

Choose how an offer is accepted

If several people could use the opening, decide whether staff contact them one at a time or send a broader notice. Define how long an offer lasts and what happens when two people respond. Verify the software behaviour instead of assuming a message reserves the slot. Keep the accepted booking connected to the waitlist request so staff know it has been resolved. The customer confirmation should state the final time and service clearly. An informal reply saying yes should not leave staff uncertain about whether a booking exists.

Rehearse a cancellation and refill

Create a sample cancellation, identify an eligible request and follow the offer through acceptance. Then try a declined offer, an unanswered message and a customer who books elsewhere before replying. Check that the list remains accurate and that the original opening cannot be promised twice. For class capacity, investigate a suitable supported approach separately rather than adapting an appointment feature by assumption. Judge the waitlist by whether it helps staff make one clear, correct booking from an opening, not by how many names accumulate on the list. Record when a waitlist request was last confirmed with the customer, so staff can identify preferences that may no longer be useful.

Put it into practice.
