A return request is the start of a workflow

Design approval, inspection and customer updates before turning on a returns portal.

Keep the request distinct from the outcome

Shopify self-serve returns let customers start a return request and let the merchant review it. For a hypothetical homeware shop, that is the beginning of an operational process, not proof that money has been refunded or stock is ready to sell again. Define the stages the team will use after a request arrives. The customer should understand whether the request is received, approved, awaiting an item or completed. Clear states prevent a friendly confirmation from sounding like a promise the shop has not yet acted on.

Ask for information that changes the decision

A return form should collect the order reference, item and reason needed to route the request. Decide when photographs are useful and when they would only add friction. A broken lamp arriving in a damaged box requires different follow-up from an unopened cushion in an unwanted colour. Avoid asking customers to restate information the order already contains. Give staff a place to record the decision and its explanation. Keep the published policy and any applicable obligations under review, rather than treating the software's default settings as the policy.

Inspect before restoring sellable stock

When the item reaches the shop, someone should compare what arrived with the approved return. Record condition, missing parts and any follow-up needed. Decide whether the item returns to ordinary stock, goes to a separate inspection area or cannot be resold. In the hypothetical lamp case, a refund decision and the physical disposition of the lamp are separate records. Do not let one silently stand in for the other. The team should be able to explain both the customer resolution and the effect on available inventory.

Close the loop visibly

Test a complete sample return, including a request that needs clarification and a parcel that arrives without an obvious reference. Check which messages the customer receives and who notices a stalled request. Give the owner a list of unresolved cases with a next action, rather than a single count of open returns. Choose automation only after responsibilities are clear. A useful portal reduces repeated explanation because customers and staff can see the same progress, while still leaving room for a person to review an unusual situation fairly. Choose a clear place to store the return reference on the incoming parcel, so an inspection does not become detached from its request.

Put it into practice.
