Stock on hand is not always stock ready to sell
Separate physical quantity from the availability your storefront should promise.

Ask what the number represents
Shopify's inventory guidance includes inventory states, quantity adjustments and stock counts. For a hypothetical homeware shop, the practical starting point is to define what each number means in the actual setup. Items physically present may be awaiting inspection, reserved for an order or damaged. A storefront's available quantity should represent what the business can promise to a new buyer. Do not treat every object in the stockroom as freely sellable, and do not assume an imported quantity carries the same meaning across all connected systems.
Create a clear receiving boundary
When a delivery arrives, decide whether stock becomes available immediately or after a check. Count the items, confirm the expected variants and identify damaged packaging or incomplete sets. Record the result before moving the goods into ordinary storage. If the team uses a temporary receiving area, label it and assign an owner so items do not remain in limbo. In the hypothetical shop, a box of lamps may be physically received while still needing inspection. The record should make that distinction understandable to the person accepting web orders.
Make reservations and exceptions traceable
An item held for a customer should have a reason, an owner and a point at which the hold is reviewed. Otherwise temporary reservations can become permanent invisible shortages. Use the selected system's supported states or an explicit controlled process, and test how that affects public availability. Keep damaged and returned items out of the ordinary picking route until their status is resolved. A stockroom label and a software record should agree. If they differ, staff need a clear way to investigate instead of simply increasing the available number. Check the picking list against the designated sellable area, so staff do not fulfil an order from a shelf reserved for unresolved items.
Reconcile the promise to the shelf
Take one sample item through receiving, inspection, reservation, sale and return. At each step, ask what a new customer can buy and what staff can physically locate. Test an adjustment while an order is in progress and check the resulting record. Choose a model the owner can explain without memorising undocumented exceptions. The useful outcome is not merely matching a total count. It is knowing which items are ready to fulfil new orders and being able to explain the rest through a visible, maintained operational state.
