An AI layer over legacy software still needs a reliable bridge

Test how records move between systems before adding an assistant to a German SME’s existing tools.

The old system remains part of the economics

The OECD's 2024 D4SME research examines digital journeys in seven countries, including Germany. Its scope is useful context for gradual modernization; it does not certify compatibility between any two products. An owner adding AI to older software still needs to test exactly how business records cross the boundary.

A new assistant may summarize an order perfectly while leaving staff to retype every approved field into the existing system. That arrangement can still help, but the remaining transfer work belongs in the price comparison. A modern interface alone does not remove the underlying handoff.

Choose one authoritative record

Decide which system owns the accepted order, customer address and price. If a second system holds copies, define when they update and how disagreements are resolved. Staff should not have to guess whether a conversational answer or the older order screen contains the latest instruction.

Test a correction after the first transfer. Change a quantity, cancel an item and update a customer reference. Observe whether the receiving system reflects each change and whether duplicate actions create duplicate orders. These cases expose weaknesses that a first-time import demonstration can conceal.

Compare a bridge with a replacement

Price the bridge as an ongoing process: setup, monitoring, exception handling and changes when either product updates. Compare it with retaining manual transfer for a narrow workload and with replacing the old process altogether. Each option may be sensible at a different volume and level of complexity.

Ask what happens when the connection is unavailable. Staff need a way to recognize incomplete transfers and resume work without repeating successful ones. If the supplier cannot demonstrate recovery, treat the connection as an unresolved dependency rather than assuming it will be reliable in production.

Keep the change reversible

Before expansion, retrieve a sample of your records and check that a colleague can understand them outside the new interface. Maintain the current operating procedure until the revised route has passed realistic checks and staff know who handles exceptions.

Choose the smallest change that improves the bottleneck at an acceptable maintenance cost. This article's bridge and recovery tests are original operating analysis. They turn the general issue of SME digitalization into a concrete buying decision, while avoiding the unsupported claim that AI makes every existing application easier to replace or connect.

Put it into practice.
