Plan a salon booking app that works on a busy day

Set the rules for appointments, staff, confirmations and cancellations before choosing your software.

Requests and reservations are different promises

Start by deciding whether a visitor is requesting a time or securing an appointment immediately. A request can wait for the owner to review it. A confirmed reservation needs an accurate view of capacity. The words on the final screen should match the promise your salon can keep.

For a first version, requests may be enough. Show when the customer can expect a reply and where they can contact the salon. Do not display a confirmed message while relying on someone to manually check a separate calendar later.

Put time and capacity into the brief

List each service's duration and any preparation or cleanup time. Decide whether a booking reserves a specific stylist, a chair, a room or a shared capacity. A color appointment and a haircut may consume different resources even when the customer selects the same start time.

Include opening hours, breaks, holidays, advance notice and the latest time someone may cancel. Write examples: a 60-minute service cannot start 30 minutes before closing; a stylist on leave should not appear available; an appointment moved to another day should release its old slot.

Compare tools against those rules

Shopify's service-selling guidance points merchants to booking apps and asks them to configure availability, capacity and recurrence. That makes a Shopify setup one option to evaluate, especially for a salon already selling products there. Check the chosen booking app's exact behavior and costs.

A tailored app is another option when your workflow needs a different shape. Use the same written requirements for every candidate. Avoid choosing from a calendar screenshot alone: the important work happens when someone changes, cancels or competes for the last available time.

Try a realistic day before launch

Create a sample day with several services, a staff break and one unavailable period. Submit two requests for the same time. Cancel one, reschedule another and check what each customer can see. Test on the owner's phone as well as the reception computer.

If you add deposits or reminders, complete provider setup and verify a test transaction or received message. Keep a manual contact route for customers who need help. Use the booking-brief generator to collect the first decisions, then refine the brief with the details unique to your salon.

Put it into practice.
