An artisan marketplace needs an operating agreement before a catalog

Define seller responsibilities, commission records and customer support before inviting vendors.

Choose who owns the customer promise

WooCommerce Product Vendors supports vendor commissions while the store owner processes sales through its payment gateway. That is a useful distinction for a hypothetical collective of independent makers. A shared storefront does not automatically settle who answers a customer, handles a damaged parcel or approves a refund. Before adding vendors, write down the operating agreement in plain terms. Each seller should understand what the marketplace does and what they must do. Customers should have one clear route for support even when several makers contribute to an order.

Start with one fulfilment model

Decide whether makers send products directly or deliver them to a central packing point. These arrangements require different information and different timing. For a first version, choosing one can reduce ambiguity. If the collective mixes both, show the customer how parcels and delivery expectations differ. Define the order information each maker receives and protect details they do not need. The marketplace operator should be able to identify which seller is responsible for each item without asking the buyer to contact several unrelated personal accounts. Name a marketplace contact for each seller and a backup contact, so an urgent fulfilment question does not depend on one person's availability.

Write down the money rules

Agree how commission is calculated, when a sale becomes eligible for payout and how a refund or adjustment affects it. Use a sample order containing two sellers and a delivery charge to test the agreement. Do not assume the extension's default calculation matches the commercial arrangement. Keep a record that each seller can reconcile against their fulfilled items. Get appropriate professional input for obligations that depend on the business structure and location. Software configuration follows those decisions; it does not determine them on the collective's behalf.

Pilot an exception with every seller

Before opening registration widely, run a small rehearsal with a missing item, a late dispatch and a customer asking to return one part of a mixed order. Verify who receives the alert, who can respond and what the customer is told. Check that commission records reflect the agreed resolution. Expand only after the operator can resolve these cases without reconstructing the entire transaction from messages. A marketplace becomes credible through consistent fulfilment and clear responsibility, not simply by displaying many independent brands on a polished landing page.

Put it into practice.
