Vendor commission is not the same as a completed payout

Design a reconciliation trail before automating marketplace seller payments.

Track the obligation and transfer separately

WooCommerce Product Vendors documents manual commission payment and automated PayPal Payouts with specific approval and account requirements. For a hypothetical craft marketplace, this means a calculated commission is not proof that the seller has received money. Define the stages the operator needs to see: earned under the agreement, eligible for payment, sent and resolved. Verify the actual provider eligibility before promising automatic payouts. The marketplace's commercial and regulatory obligations require their own review; an extension's payout setting does not establish them.

Make the calculation reproducible

Agree which order amounts contribute to commission and how discounts, delivery charges, refunds and other adjustments are treated. Use a sample mixed-seller order to calculate the result by hand, then compare it with the configured system. Keep the rule simple enough that a seller can understand their statement. If different sellers have different agreements, preserve the relevant version. Avoid changing a default and assuming it should rewrite every earlier obligation. The operator needs a clear explanation of why each payout amount differs from the gross value of the seller's products.

Resolve failures without paying twice

A transfer can need attention because account details are missing, an eligibility requirement is unmet or the provider reports another problem. Inspect the actual status before retrying manually. Record who approved the retry and which obligation it settles. Do not mark a commission paid solely because someone clicked a button. If a payout must be made through a different authorised route, preserve the reference and reconcile it against the same seller balance. A controlled exception path is essential even when most transfers are expected to run automatically. Give each seller statement a period and calculation reference, so a later refund can be traced to the correct original commission instead of guessed.

Run a small settlement rehearsal

Create sample orders, a partial refund and one seller with incomplete payout setup. Produce the seller statements and explain every balance. Check that an unresolved transfer stays visible and that a successful retry does not duplicate the obligation. Have another operator reproduce the calculation. Automate only when the records remain understandable through these exceptions. The useful outcome is a trail connecting customer orders, agreed commission and confirmed transfers, with someone responsible for differences. A marketplace should not promise effortless seller payments before that trail has been demonstrated.

Put it into practice.
