Start from an approved version
Shopify supports creating a draft order for a customer and sending an invoice with a checkout link. That can help move an agreed sale into payment. In a hypothetical furniture workshop, however, the agreement also includes dimensions, finish and delivery access. Decide which version of that specification the invoice refers to. The customer should not pay against a changing sketch whose details are still being discussed. Give the approved specification a clear date or reference, and keep it available to the people making and delivering the item.
Separate choices from exceptions
List the choices that can be priced consistently, such as a standard finish, and the exceptions that require review, such as fitting a piece around an unusual wall. Let the quote process resolve the exceptions before offering a final payment request. If an estimate is preliminary, label it accordingly and state the next action. A workshop can use a simple approval record before investing in an elaborate configurator. The important point is that the payable amount and the accepted work refer to the same scope.
Handle changes after payment explicitly
Suppose the customer asks for a wider cabinet after paying. Staff need to identify whether materials have been ordered and whether the change affects delivery or price. Record the proposed change, its effect and the customer's response before modifying the production instructions. Do not silently overwrite the accepted dimensions. Decide how any additional payment or refund is handled through the chosen sales tools. The person making the cabinet should have one current instruction sheet and a visible record that explains why it differs from the original order.
Rehearse the handover to production
Ask someone uninvolved in the sale to assemble a production brief from the sample order. They should find the current dimensions, finish, approval, payment state and promised next update. Then have the delivery lead identify access constraints without searching a private chat. If either person must ask the salesperson to reconstruct the deal, improve the record before adding automation. A checkout is ready for bespoke work when it carries a stable commercial reference into a clear operational process, with ownership for questions that the order itself cannot answer. Include one explicit acceptance box in the internal handover checklist confirming that production is using the approved specification rather than a preliminary sketch.
