A quote marked accepted still needs a real acceptance record

Connect the customer decision to the invoice and delivery brief.

Keep the human decision behind the status

Stripe documents that a quote can be marked accepted after the customer agrees, and acceptance generates an invoice, subscription or subscription schedule. For a hypothetical research consultancy, the key is preserving the customer's actual agreement before changing that status. A staff action in software is not by itself evidence that the buyer approved the scope. Decide who can accept on the client's side and how the decision is recorded. Keep that evidence connected to the exact quote version that becomes the basis for payment and delivery.

Make the quote specific enough to compare

State the deliverable, boundaries, assumptions and next step in terms the client can understand. If the consultancy offers several options, distinguish them clearly and record which option was chosen. Avoid mixing an illustrative timeline with a firm commitment without explanation. Give the quote a useful validity period where appropriate, and identify the conditions that require a revision. A customer should be able to compare the offered work with their need before agreeing. The invoice should not introduce new scope that was absent from the accepted proposal.

Control revisions after agreement

If the client asks to add another research question, record the effect on work and timing before revising the commercial record. Preserve the earlier quote and acceptance. Decide whether the change is included, separately priced or deferred. The delivery team needs a current brief, while the account owner needs the history that explains it. Do not let an internal status update silently become a new agreement. A clear change record protects the shared understanding and helps staff answer ordinary questions without relying on memory of a call.

Verify the generated next step

Take a sample quote through agreement and acceptance in the selected setup. Inspect the resulting invoice or recurring arrangement and confirm the amount, customer, timing and description. Ask a colleague to identify the evidence of approval and the work that should begin. Test an expired or revised quote so staff know which version is valid. The workflow is ready when a software status follows a real business decision and produces the intended next record. A faster quote-to-payment path should preserve clarity about what the customer actually agreed to buy. Attach the chosen option and acceptance date to the delivery brief, giving the project team a compact reference for the agreement it must fulfil.

Put it into practice.
