Buffer time and booking notice protect different parts of the day

Plan preparation gaps and lead time separately for tutoring or consulting.

Separate two kinds of preparation

Calendly's troubleshooting guidance distinguishes times blocked by buffers from times blocked by minimum booking notice. For a hypothetical tutor, the difference is practical. A gap between lessons allows notes and preparation; advance notice prevents a new lesson appearing moments before it starts. Decide what each rule protects before changing either setting. There is no universal number that fits every service. Use the tutor's actual preparation tasks, travel needs and customer expectations to choose a workable policy, then verify how the selected tool applies it.

Count the work around the session

List what happens immediately before and after a lesson: reviewing material, preparing an exercise and recording follow-up. Decide which tasks require uninterrupted time and which can happen elsewhere. If travel is involved, include it explicitly rather than expecting a generic short buffer to cover every journey. The customer-facing session duration should remain clear. A tutor may offer a stated amount of teaching time while reserving additional time internally. Do not make the customer infer the lesson length from the gap between available start times on a calendar.

Choose notice from an actual dependency

Advance notice should reflect what the tutor must do before accepting a session. If a learner needs to submit material, explain when that material is due and whether incomplete submission affects confirmation. A long notice rule without a reason may unnecessarily restrict useful bookings; a short one can create promises the tutor cannot fulfil. Review this with the person delivering the service. Keep exceptional last-minute requests on a clear manual path if the business chooses to support them, rather than silently weakening the normal rule for every customer. Review the first and last appointment of the day as separate cases, because preparation requirements may extend beyond the hours shown to customers.

Test the boundaries together

Try booking at the earliest allowed moment and directly beside an existing lesson. Repeat with a different session duration and a day with limited availability. Inspect why any expected time is hidden before changing the settings. Ask the tutor to walk through the resulting day, including preparation work. The rules are ready when the schedule is both understandable and feasible. Review them after actual operating experience, but do not claim a productivity improvement until the business has evidence that the new arrangement helps rather than merely showing fewer available slots.

Put it into practice.
