Clothing variants: decide what needs its own stock count
Structure a fashion catalog around fulfilment, size choices and returns before uploading every possible combination.

Start with the shelf
Shopify represents combinations such as size and colour as product variants, with inventory managed at variant level. That is useful when a shopper's choice corresponds to a different physical item. In a hypothetical clothing shop, black trousers in a medium and olive trousers in a medium belong in separate stock counts. A request to shorten either pair is a different kind of information. Before importing a spreadsheet, ask the person packing orders to identify which choices lead to a different item being taken from the shelf.
Give each choice a clear meaning
Make a small catalog dictionary before adding products. Define whether colour names describe the fabric, a marketing collection or a print, and decide how sizes appear across similar garments. Keep the shopper's label readable while maintaining a stable internal reference. If one supplier calls a size medium and another calls it size two, do not merge them merely to make the menu look tidy. Record measurements and fit guidance separately. Customers should understand the selection, and staff should be able to locate exactly the item that selection represents. Keep a photograph of each sellable variation with its stock reference so a new packer can distinguish similar-looking items without guessing.
Separate alterations from sellable stock
Suppose the same shop offers hemming after purchase. Treat the alteration instruction as work attached to an item, unless you actually stock prealtered pairs. Otherwise every possible hem length can turn into an inventory record that nobody maintains. Specify who checks the requested length, when the order enters the alteration queue and what happens if the request is unclear. Show the customer any effect on the promised completion date before payment. A rich selector is only useful if its choices reach the person doing the work.
Rehearse an exchange
Take one sample purchase through picking, packing and a size exchange. Confirm that staff can identify the outgoing and incoming variants without relying on a photograph. Then simulate a damaged returned pair: the item should not silently become available for sale just because a refund was issued. Decide who inspects it and records its condition. This trial reveals whether the catalog serves operations as well as shopping. Expand the range only after a colleague can process these ordinary exceptions using the information already on the order.
