Do not promise an automatic second charge
WooCommerce Deposits supports partial payments and payment plans, but its documentation says scheduled payments are invoiced rather than charged automatically. For a hypothetical photographer, that distinction affects the promise made after a booking deposit. If the client must return to pay the balance, say so. State the total agreed price, amount paid, remaining amount and due event. The customer should not discover near the shoot that a payment they expected to happen automatically still requires action from them.
Tie the balance to a clear milestone
Choose whether the balance is due on a date, before a shoot or before delivery of final work. Make the trigger understandable to both client and staff. If the shoot moves, decide how the due date changes. Keep this business rule separate from the calendar entry so rescheduling does not leave an unexplained invoice behind. Have the team's commercial terms reviewed as appropriate for its circumstances. The software should reflect those terms; a default payment schedule is not a substitute for deciding what the photographer and client have agreed.
Show the full commitment in the owner view
The owner needs to see the session date, payment state and next action together. A deposit receipt does not establish that the booking is fully paid, and an unpaid balance does not necessarily mean the client has ignored a request. The invoice may not have been sent or may have gone to the wrong address. Record delivery and follow-up decisions where the team can find them. If money is collected through another approved method, define who verifies it before marking the balance settled in the order record. Include the next payment action in the booking handover, so the person confirming the session does not imply that the full balance is settled.
Rehearse a moved session
Take a sample client through deposit payment, a date change, balance invoicing and completion. Confirm that the new timing appears consistently in messages and internal records. Then try a cancellation and ensure the chosen resolution is recorded separately from the booking being removed from the calendar. Ask a colleague to explain what remains owed without reading a private message thread. The workflow is useful when it makes the financial state understandable, preserves the agreed scope and gives staff a specific next action instead of a vague unpaid warning.
