Two stylists and one treatment room: model the bottleneck

Evaluate booking software with the shared resource that actually limits capacity.

Draw the constraint before the calendar

WooCommerce Bookings resources can represent staff, rooms or equipment, but its documentation says a booking has one assigned resource by default. That limitation matters in a hypothetical salon with two specialists sharing one treatment room. Both staff calendars can look free while only one appointment can run. Write the real constraint as a sentence: the appointment needs an available specialist and the room for the full operating interval. Ask any proposed system to demonstrate that exact rule rather than accepting a general claim that it supports resources.

Distinguish skills from available time

Not every staff member necessarily performs every service. Create a small service-to-staff map and identify equipment or rooms required by each service. Include preparation and cleanup in the operating interval where needed. If the salon solves the problem by limiting a service to one concurrent appointment, test how that interacts with other services using the same room. A workaround that protects one product page may still allow a collision through another. Keep the model understandable enough that the owner can adjust it when staffing or room usage changes.

Use an overlap test

Try booking two different services at overlapping times, first with the same specialist and then with different specialists. Repeat the test from two customer sessions. Ask the owner to make a manual booking during the same interval and check whether the rule still applies. The expected outcome should be written before the test. A system passes only when the unavailable combination is prevented or clearly held for review, according to the salon's chosen process. Do not count a warning that staff routinely overlook as equivalent to enforcing the constraint.

Choose an honest first version

If the selected tools cannot express the salon's resource combination reliably, simplify the offer or use a reviewed request process while investigating a suitable solution. Say that availability will be confirmed instead of advertising an instant reservation. Keep the next step and response responsibility clear. The right first version is the one the business can operate accurately. Add more self-service scheduling only after the staff, room and service rules work together and the owner can recognise a conflict before two customers are promised the same physical space. Keep the overlap examples in the buying brief, making them repeatable whenever the salon adds another service that uses the same room.

Put it into practice.
