Before a Brazilian supplier adds AI, map what information leaves the business

Make the information flow understandable enough to assess cost, dependency and operating control.

Outsourcing implementation creates an operating boundary

Cetic.br's 2024 enterprise research investigates AI acquisition and external supplier involvement. This describes how businesses obtain technology, not whether any particular supplier handles information appropriately. A Brazilian small business considering outside help should understand the resulting information flow before committing its ordinary work to the service.

Start with a specific job, such as extracting details from purchase requests. The questions are practical: which documents enter the service, which fields return, who can see them and where the accepted record lives. A familiar supplier relationship does not make those boundaries self-explanatory.

Draw the smallest useful information flow

List the information necessary to perform the task and remove unrelated details from the trial. A system classifying product inquiries may need the question and product reference without needing a complete customer history. Less unnecessary material can also make the result easier for staff to review.

Ask the supplier to explain the flow in language the owner understands. Identify any additional service providers involved, how staff gain access and how an employee's access is removed. These are procurement questions, not a substitute for jurisdiction-specific legal or security review when the use requires it.

Test a correction and a withdrawal

Send an ordinary example, correct one field and check every place where the original appeared. Then remove the example from the trial according to the agreed procedure. Observe what the business can verify directly and what depends on the supplier confirming an action.

This exposes the practical cost of distributed records. If corrections require several support requests, include that burden in the decision. If a generated result cannot be traced to its input, staff may spend more time resolving disagreements even when the first extraction looks fast and accurate.

Keep responsibility with named people

Assign a business owner to approve the task scope and a supplier contact to resolve failures. Agree what evidence demonstrates recovery after a problem. Retain the current process until the new route works on representative cases and the team knows how to handle exceptions.

The objective is a relationship that remains understandable after launch. The survey motivates attention to external dependencies; this article's checks are an original operating framework. Choose a supplier whose answers let your team manage the work, rather than one whose proposal makes responsibility disappear behind a general promise of AI-powered efficiency.

Put it into practice.
