Buying and customizing can coexist
Cetic.br's TIC Empresas 2024 research reports Brazilian AI adopters using both ready-made systems and external software development. These acquisition categories can overlap. The survey does not establish that one route performs better, but it does show why a simple choice between buying and building can conceal a mixed arrangement.
A small business might buy a standard assistant and pay a supplier to connect it to its order process. The recurring product and the custom connection then have separate owners, costs and failure modes. Evaluate the arrangement as a whole before describing it as a simple software subscription.
Define the part that is genuinely specific
Write down which requirement your business cannot meet with a standard process. It might be a sequence of approvals, a specialized quotation structure or a particular document exchange. Distinguish essential requirements from habits that could change without harming customers or staff.
Ask vendors to demonstrate the essential case using your terminology. A generic demonstration can make a custom requirement look straightforward while leaving the actual data movement unresolved. If adapting a process would remove substantial maintenance work, compare that option openly rather than treating customization as automatically more professional.
Assign every continuing responsibility
Identify who updates reference information, repairs a connection and checks a changed product release. Include the business employee who verifies that the result is correct. Technical support from a supplier does not replace the owner's responsibility to know whether an order or quotation reflects the intended rules.
Check what happens if the custom supplier stops working with you. Request a usable process description and an export of business records. The value of those materials lies in enabling continuity, not in collecting technical documents that nobody on the receiving team can understand or use.
Compare cost over the working life
Build a comparison covering setup, recurring charges, routine changes and expected supervision. Use a realistic scenario such as adding a service category or replacing a supplier document. Ask each proposal to explain the resulting work rather than relying on a vague promise of flexibility.
Choose the arrangement your business can maintain at its likely scale. The Cetic.br evidence provides market context, while these ownership questions are our purchasing analysis. A tailored workflow can be valuable, but its value depends on clear responsibilities after the initial version has stopped being new.
